Back Office Executive Key Responsibilities:

  • Ensure the Application Process is Completed: Verify that all candidate applications are properly submitted and documented.
  • Resume Screening: Compare and analyze resume details with the job description to ensure candidates meet the position’s requirements.
  • Validation Procedure: Initiate, intimate, and guide candidates through the Recruitment Validation Process (RCS), ensuring they understand the steps involved.
  • Schedule Validation Calls: Arrange calls with candidates to explain the context of the validation process and answer any questions.
  • Credential Validation: Ensure that degrees, certifications, licenses, and other professional qualifications are legitimate and current.
  • Job Description Alignment: Ensure that candidate resumes match the job description specifications, identifying potential gaps or discrepancies.
  • Clarify Job Description Doubts: Address any queries candidates may have regarding the job description or the recruitment process.
  • Candidate Availability: Plan and ensure that candidates are available for future recruitment steps, managing schedules efficiently.
  • Approval of Qualified Candidates: Review and submit your approval for candidates who meet all the necessary qualifications and criteria.
  • Document Management: Maintain accurate and up-to-date records of all candidate validation documents and reports.
  • Collaboration: Work closely with recruiters, hiring managers, and HR to ensure validated candidates align with job requirements.
  • Reporting: Prepare validation reports and present findings to the recruitment team or hiring manager.
  • Continuous Improvement: Recommend improvements in validation processes to increase efficiency and accuracy.

Additional Responsibilities:

  • Resume Detailing Analysis: Regularly analyze and update candidate resume information to ensure accuracy and completeness.
  • Avoid Duplicate Resumes: Ensure that duplicate resumes are avoided in the databank by conducting thorough checks.
  • Databank Maintenance: Update and maintain the candidate databank following standardized procedures, ensuring data integrity and accuracy.

Key Requirements:

  • Attention to Detail: Ensure accuracy in verifying candidate information and identifying discrepancies.
  • Problem-solving: Ability to address discrepancies and issues in candidate validation efficiently.
  • Ethics & Integrity: Commitment to maintaining confidentiality and compliance with company policies and laws.
  • Team Collaboration: Ability to work with multiple teams to ensure timely and accurate validation.
  • Language Proficiency: Must be fluent in both Hindi and English.
  • Technical Skills: Proficiency in MS Office applications (Word, Excel, PowerPoint, etc.) is essential.
  • Experience: Prior experience in recruitment validation, HR, or background verification roles is a plus.
  • Communication Skills: Excellent communication skills to explain processes clearly to candidates and collaborate with internal teams.
